Order batches

Order Batches lets you save reusable "templates" for groups of orders you print, pick, or pack together every day. Instead of re-applying the same filters in the Orders list each morning, you build a template once and then click it to instantly print packing slips, generate a pick list, or start cycle-packing those orders.

What is Order Batches?

Order Batches saves you from re-applying the same filters every day.

Build a template once for the orders you process together then click it to print, pick, or pack those orders in one go.

Quick Start

  1. Open EasyScan, click Order Batches on the dashboard under Pick, Pack & create orders.

  2. Click Create batch.

  3. Give it a name, pick a fulfilment location, choose what to print.

  4. Save.

  5. Click the new card, then Print, Pick, or Pack.


Understanding the two pages

EasyScan splits Order Batches into two pages so templates don't get mixed up with day-to-day runs.

Batch Templates
Your saved recipes. Edit them anytime. They never expire.

Order Batches
The history of every time a template was run. Each run is called an instance. Instances auto-clear after 30 days.


Creating a batch template

Click Create batch.

Field

What to put

Name

Something you'll recognise on a card.

Colour

Pick a colour so the card stands out.

Group

Optional section header. Leave as Default if unsure.

Documents to print

Packing slips, pick list, or both.

Fulfilment location

Required. Only orders from this location are pulled.

Order limit

Max orders per run. Default 100. Up to 250.

Filters, which orders get pulled

  • Fulfilment status, usually leave as Unfulfilled.

  • Tags to include, only orders with these tags. Choose Match any (one tag is enough) or Match all (every tag must be present).

  • Tags to exclude, skip orders with these tags.

  • Order status, payment status, delivery method, sales channel, narrow further if needed.

  • Date range, useful for "today only" or backfills.

Sort order

Pick how orders appear on your packing slip or pick list, by order number, date, customer name, total, destination, or item count. Ascending or descending.

Tag orders after printing (optional)

Turn this on if you want a paper trail. You can add:

  • A custom tag (e.g. printed-monday)

  • The batch name as a tag

  • A timestamp tag

Save. Your new template appears as a card.


Running a batch

Each template card has three actions.

Print

Generates your packing slip and/or pick list as a PDF. The PDF opens in a new window. A progress bar shows fetching, processing,
generating.

▎ Tip: If nothing opens, your browser blocked the pop-up. Allow pop-ups for EasyScan and try again.

Pick

Opens the pick list view with all orders from this batch loaded. Walk the warehouse and check items off.

Cycle pack

Opens the first order in pack mode and queues the rest. Finish one, the next loads automatically.


When some orders can't be printed

If any order is already fulfilled, cancelled, or on hold, you'll see a Faulty orders popup listing exactly which ones and why.

Two choices:

  • Continue, print the valid orders, skip the bad ones.

  • Cancel, stop everything, untag the orders, try again later.

If every order is faulty, you'll only see OK (same as Cancel).


No double-printing across users

When you click Print, Pick, or Pack, EasyScan tags those orders with es-batched in Shopify. Other batches automatically skip tagged orders, so two people can't grab the same orders by accident.

If you cancel a batch or delete it, the tags come off and the orders become available again.


Organising your templates

  • Drag and drop cards to reorder them or move them between groups.

  • Create a group to keep templates by shift, team, or workflow.

  • Collapse a group to hide its cards. EasyScan remembers your choice.

  • Grid or list view, toggle layout in the top right.

  • Duplicate, copy a template and tweak.

  • Edit or Delete, from the card's menu. Delete asks to confirm.

Default group cannot be deleted. Deleting any other group moves its templates back to Default. Nothing is lost.


Tracking what's been done

Open the Order Batches page (View batches button).

You'll see every batch run with:

  • Template name

  • Order count (click to see the full order list and timeline)

  • Who it's assigned to

  • When it was created

  • Last action taken

Useful actions

  • Click "Assigned to" on any row to assign a teammate. Great for "this batch is mine, hands off."

  • Filters and saved views, filter by template, person, or date. Save your favourites (up to 10) as named views.

  • Bulk delete, select rows, delete in one click.

  • Click the order count, opens a detail view showing each order, who printed, picked, or packed it, and links into Shopify.


FAQ

Where did my orders go? The card shows 0.

They're probably already in another batch (tagged es-batched). Run or cancel the other batch, or remove the tag manually in Shopify.

Can I undo a print?

The PDF can't be unprinted, but you can delete the batch instance from the Order Batches page to remove the es-batched tags and start fresh.

Why did my batch disappear?
Instances auto-delete after 30 days to keep history clean. Your templates stay forever.

Can two people work the same batch?

Yes. Assign it to one person on the Order Batches page so the team knows who owns it.

Is this on Basic or Standard?

No. Order Batches is Pro only.

Why is the count "99+" instead of an exact number?
We cap the badge at 99 to keep cards readable. Hover for more detail.
