Understanding Inventory Reports

EasyScan doesn't just scan barcodes; it creates an audit trail of every single item that moves through your business.

This guide explains how to access, read, and export your data for accounting and performance tracking.

Part 1: Inventory reports

Requirement: Reporting features are available on the Advanced and Pro plans.

It records every time a stock adjustment is made within EasyScan.

  • Where to find it: Go to Reports > Inventory History.

  • Key Columns:

    • SKU / Product: The item was adjusted.

    • Adjustment: The number of units added/removed (e.g., +5 or -1).

    • New Level: The final stock count after the change.

    • User: Crucial. Shows exactly who made the change (e.g., "Mike").

    • Source: Did this come from a "Check inventory", "Update inventory", or "Purchase order"?


Part 2: Exporting Data for Excel / Accounting

You cannot run a business inside a browser window. Here is how to get the data out.

Reports in EasyScan have an "Export" button in the top right corner.

  1. Filter First: Use the date range picker (e.g., "Last 30 Days") or filter by Location before exporting to keep the file manageable.

  2. Click Export: Select CSV.

  3. Open in Excel/Google Sheets:

    • Tip: If the dates look strange (e.g., ######), expand the column width in Excel.


Part 3: Understanding Common Terminology

Don't get tripped up by the jargon in the report columns.

Inventory reports can feel dense at first glance. To help you move faster, here’s a clear explanation of the terms you’ll see throughout your Shopify inventory data.

  • SKU
    A unique identifier for each product or variant in your catalogue. It helps you track and differentiate items quickly.

  • Variant
    A specific version of a product defined by options such as size or colour. Each variant carries its own inventory count.

  • On-hand Quantity
    The total number of units currently in your possession. This includes items on the shelf, in the back room, or in your warehouse.

  • Available Quantity
    The number of units that can actually be sold. This excludes units committed to orders or reserved for bundles.

  • Committed Quantity
    Units already allocated to open orders. These are no longer available for sale.

Q: How far back does the history go?

A: EasyScan retains detailed logs for as long as you have an active subscription.

Q: Can I schedule these reports to be emailed automatically?

A: Not currently. You must log in and export them manually.
