How to fulfil orders with EasyScan

Fulfilling orders with EasyScan eliminates human error. By scanning each item before it goes into the box, you ensure that every customer gets exactly what they ordered. This guide covers the standard "fulfil" workflow for single orders.

Prerequisites

  • Barcodes: Ensure all products have barcodes assigned in Shopify. (See guide: Assigning Barcodes)

  • Scanner: A USB or Bluetooth scanner connected to your device (or use your device's camera).

The Workflow

1. Select Your Location Open the Orders page. If you have multiple warehouse locations, use the dropdown menu in the top left to select the location you are fulfilling from.

  • Note: EasyScan will only show inventory available at the selected location.

2. Select an Order.

You will see a list of "Unfulfilled" orders. You can:

  • Search: Scan a packing slip barcode or type an Order ID (e.g., #1024) into the search bar.

  • Filter: Use the "Oldest First" filter to prioritise backlog orders.

  • Click: Select the order to open the Picking & Packing Interface.

3. Scan to Pack

This is the "Safety Check" phase.

  • Scan an Item: Point your scanner at the product barcode.

  • Success: You will hear a "Success Beep" and the item will turn Green on the screen. The "Packed" count will increase (e.g., 1/2).

  • Error: If you scan the wrong item (or an extra item), you will hear a loud "Error Buzz" and the alert will show. Do not pack this item.

4. Complete Fulfilment

Once all items are green (fully packed):

  1. Click the "Complete Fulfilment" button at the bottom.

  2. This will update Shopify, trigger the shipping confirmation email to the customer, and set any tags to the order.
