Let EasyScan tell you what to reorder, from which supplier or location, and by when — before stock runs out.

What is Suggested orders?

Suggested orders is a replenishment inbox. Every night, EasyScan looks at how fast each product sells, your supplier lead times, your inventory requirements (Min, Max, MOQ) and the stock you already hold at every location. Where stock is about to run short, it works out the best way to close the gap — a purchase order from your supplier, or a transfer from another location that has surplus — and lists it for you to decide on.

Unlike Smart generate, you don't have to go looking. Suggestions are ready when you open the app, grouped by supplier, with the sales at risk and the date you need to order by. Nothing is created until you click Create purchase order or Create transfer and save the order in the normal editor.

Suggested orders is available on the Pro plan.

Before you start

  • You're on the Pro plan.

  • Sales velocity is enabled and has finished its initial calculation.

  • Your Reports inventory snapshot has synced within the last 36 hours (this runs automatically every night).

  • Your products are assigned to suppliers (via supplier products, conditions, or Shopify vendor).

  • Your suppliers have a lead time set (Supplier > Order rules). If not, EasyScan learns one from the median of at least three past purchase orders.

  • Your inventory requirements (Min, Max, MOQ) are set for the locations you want suggestions for.

If any of these are missing for a product, EasyScan skips it rather than showing a low-quality suggestion.

Where to find it

  • Purchase orders or Transfer orders > Suggested orders (top-right action). A badge shows how many suggestions need a decision; it turns red when any are past their order-by date.

  • The Suggested orders card on the EasyScan home dashboard, showing the number of suggestions and the sales at risk.

  • Reports > Stock health > Suggested orders.

Quick steps

  1. Open Purchase orders and click Suggested orders.

  2. Scan the Needs decision tab. Rows are sorted by sales at risk, highest first.

  3. Expand a row to see why it's suggested, why that route was chosen, and the products included.

  4. Click Create purchase order or Create transfer. The order opens pre-filled in the normal editor.

  5. Review the quantities, then save the draft or mark it as ordered.

  6. Back in the inbox, Snooze or Dismiss anything you don't want to act on now.

Understanding a suggestion

Each collapsed row shows the supplier (or origin location for a transfer), the route badge (Purchase order or Transfer), the number of units, the order value, and a Stockout in N days badge. Expand the row to see:

  • Sales at risk: the revenue you're likely to miss over your cover-days window if you don't order. Red when stockout is within 7 days, amber within 14.

  • Order by: the last day you can place the order and still receive it before stock runs out. An order that's already late shows today's date.

  • Why now: the projected shortage at arrival, and whether demand is accelerating (last 14 days selling at least 35% faster than the previous 28).

  • Why this route: why a purchase order or a transfer was chosen (see below).

  • Stat tiles: Lead time, Stock remaining and how many days the order Covers.

  • Confidence: a bar with the evidence behind it, e.g. "Based on 42 sales over 75 days and lead time learned from 8 past orders". Lead time is either configured on the supplier or learned from history.

  • Products: a preview of the first few lines with Sales/day, Days left, Suggested qty, Unit cost and Line total. Click View all N products to open the full searchable list. A green up-arrow next to Sales/day means that line is selling faster than usual.

How the quantity is calculated

For each product and location, EasyScan projects the stock you'll have when a new order arrives:

Projected stock at arrival = available + incoming − (sales per day × lead time)

Incoming includes Shopify incoming stock, units still to arrive on open EasyScan purchase orders, and anything you recently dismissed as Already ordered.

A product is suggested when projected stock falls below its Min, or when accelerating demand brings it into the early-order window. The quantity then follows the same rule as Demand forecast:

Target stock = sales per day × (lead time + cover days) + Min

Suggested quantity = target stock − projected stock, capped at Max and rounded up to MOQ

Cover days defaults to 14 and can be changed in Settings.

Purchase order or transfer?

EasyScan prefers moving stock you already own, but only when a transfer genuinely beats buying. A transfer is suggested instead of a purchase order when both are true:

  • It's worth it: the surplus at another location covers at least half of what you need, and at least 2 units. A transfer that only shaves a few units off an order would give you two tasks instead of one.

  • It's faster, or it replaces the purchase: the transfer arrives before the supplier could deliver (EasyScan assumes 3 days transit), or it covers the full need so no purchase is required.

Origin locations are protected. EasyScan will never suggest moving stock that the origin needs itself, based on that location's Max (or Min) and its own forecast sales during the transit and cover-days window. A location that needs replenishing itself is never used as an origin.

When a transfer covers part of the need, you may see a transfer and a smaller purchase order for the same products. Transfer rows show the estimated purchasing cost you avoid.

Tabs, grouping and filters

  • Needs decision: active suggestions awaiting a decision.

  • Snoozed: suggestions you've put off. They return to Needs decision when the snooze ends.

  • Done this week: suggestions you created orders from or dismissed in the last 7 days.

Use Group by (Supplier, Destination location or None) and Sort by (Sales at risk, Soonest stockout, Largest value or Highest confidence) to organise the list. Filter by Supplier or Location using the dropdowns in the toolbar. Group headers show the supplier's lead time and whether the group meets the supplier's minimum order amount.

The subtitle under the page title tells you how many suggestions are new since your last visit and when the next calculation runs. Click Recalculate now to run it immediately.

Creating orders from several suggestions

  1. Tick the checkbox on two or more rows (or the group header to select the whole group). A bar appears at the bottom of the screen showing "N selected".

  2. Click Create.

  3. In Create order from selection, choose Combine into 1 purchase order (or transfer) to merge suggestions that share the same supplier and destination, or Keep as N separate orders.

  4. Click the primary button. The first (most urgent) order opens in the editor; the rest stay selected in the inbox so you can create them next.

Suggestions can only be combined when they share a supplier and a destination location. Purchase orders and transfers are always created separately.

Snooze and dismiss

Both are available from a row's expanded panel and from the bulk bar.

  • Snooze for 3, 7 or 14 days. The suggestion moves to the Snoozed tab and comes back automatically. Use Unsnooze to bring it back early.

  • Dismiss removes the suggestion and stops the same supplier and location (or transfer route) from being suggested again for 7 days.

Either action lets you give a reason: Already ordered, Supplier unavailable, Seasonal, Wrong quantity, Wrong route or Other (with a note). Reasons are optional, but Already ordered is useful: EasyScan treats that quantity as incoming stock in the next calculation, so the suggestion shrinks or disappears rather than resurfacing.

Both actions show a toast with Undo for 10 seconds.

After you save an order

When you save a purchase order or transfer that started from a suggestion, the suggestion moves to Done this week and a toast tells you how many suggestions still need a decision, with a Back to suggestions link. The supplier and location won't be suggested again for 7 days. If you leave the editor without saving, the suggestion stays in Needs decision.

Settings

Click Settings in the inbox to adjust how suggestions are calculated. Settings apply to the whole store.

  • Cover days (7–60, default 14): how many days of sales each order should cover. Also sets the window used for sales at risk.

  • Minimum confidence (50–95, default 75): suggestions below this confidence score are held back. Lower it to see more suggestions; raise it to see only the most certain ones.

  • Weekly digest (off by default): a weekly summary of your top 10 suggestions by sales at risk, sent by Email to the store owner's email, by Slack (Pro, requires a connected Slack workspace, set up under Inventory alerts), or both. Choose the day and hour (UTC). Nothing is sent in weeks with no active suggestions.

Good to know

  • Suggestions are recalculated every night at 08:30 UTC and are valid for 48 hours. Each run replaces the previous set.

  • Suggestions are advisory. No purchase order or transfer exists until you save one in the editor, and you can edit every quantity first.

  • Small one-line suggestions are held back unless the item is critically timed or the order is worth at least 250 in your currency. Supplier groups below the supplier's minimum order amount are also held back.

  • Set lead times on your suppliers. Without a configured or learned lead time, the product is skipped.

  • Each suggested order holds at most 500 products, prioritised by urgency.

  • Sales at risk is shown in your store currency. Line costs stay in the supplier's currency.

  • The order-by date is calculated in UTC, so it may differ by a day from your local date.
