Auto-Assign Barcode & SKU's

Automatically fill in barcodes and SKUs for new products and variants — no manual step for each one.

What is Auto-assign?

Auto-assign watches for new products and variants in your store and automatically fills in a barcode and/or SKU for any variant that doesn't already have one. It uses the same generation rules as the manual Assign new barcodes and SKUs flow, so your codes stay consistent — without you having to touch each product.

Auto-assign is currently a preview feature.

Before you start

  • Auto-assign only fills empty fields. It never overwrites a barcode or SKU that's already set.

  • It applies to new products and variants going forward. It does not backfill products you already have.

  • Available on all plans.

How to open Auto-assign

Auto-assign is a preview feature and isn't linked in the app menu yet. To open it, go to the Auto-assign page directly by adding /auto_assign to your EasyScan app URL.

Quick steps

  1. Open the Auto-assign page.

  2. Under Triggers, choose when it should run.

  3. Under What to assign, pick Barcode, SKU, or Barcode and SKU.

  4. Set the generation rules for each field.

  5. Check the Preview.

  6. Click Turn on auto-assign, then click Save.

Step-by-step

Step 1: Open Auto-assign

Go to the Auto-assign page.

Step 2: Choose your triggers

Under Triggers, pick at least one:

  • When a new product is created: runs the moment you add a new product.

  • When a new variant is added: runs when a new variant is added to an existing product.

Step 3: Choose what to assign

Under What to assign, select one of:

  • Barcode: generates and assigns a barcode value.

  • SKU (Stock keeping unit): generates and assigns a SKU value.

  • Barcode and SKU: assigns both at the same time.

Step 4: Set your generation rules

For each field you're assigning, choose how the value is generated:

  • Unique number: a generated number.

  • Variant ID: uses the Shopify variant ID.

  • Advanced: build a custom pattern with prefixes, suffixes, auto-numbering, and product details.

These are the same controls used for manual barcode assignment.

Step 5: Check the Preview

The Preview card shows a sample of what your rules will generate. Use it to sanity-check the format before turning things on.

Step 6: Turn it on and save

Click Turn on auto-assign, then click Save. You must save once for auto-assign to start running — until you do, a reminder banner appears.

Understanding the status panel

At the top of the page you'll see:

  • Watching: what auto-assign is monitoring (Products, Variants, or both).

  • Assigning: which fields it's filling (Barcode, SKU, or Barcode + SKU).

  • Last 24 hours: how many barcodes and SKUs were assigned recently.

  • A status badge showing On or Paused.

  • Recent activity: the most recent variants that were assigned, with the values and timestamps.

Good to know

  • Existing barcodes and SKUs are never overwritten — only empty fields are filled.

  • Only future products and variants are processed. There's no backfill for existing items.

  • A new product's first variant(s) always get codes when the product is created, even if "When a new variant is added" is off.

  • Pausing keeps your settings. Click Pause auto-assign to stop, and Turn on auto-assign to resume.

  • Auto-assign settings are saved separately from the manual Assign page, so the two never interfere with each other.

  • In Reports and logs, auto-assigned codes are labelled with the initiator "Auto-assign" and the method "Automatic".
