Conducting a Stocktake (Inventory Check) with EasyScan

Running regular, accurate stocktakes is the best way to eliminate discrepancies, catch missing stock, and ensure your physical warehouse aligns perfectly with your Shopify Admin.

Currently, full inventory counts are managed via our Check Inventory page. However, we are completely redesigning this workflow! A brand-new, dedicated Stocktake feature is coming soon to bring you advanced reconciliation tools, multi-user counting, and deep reporting.

Below is how to manage your counts today using our active layout, along with best practices to prepare for the update.


📋 How to Count Stock Today (The "Check Inventory" Workflow)

Until our new module launches, you can run accurate, comprehensive stock checks using the core application dashboard.

Step 1: Open the Check Inventory Interface

  1. Launch EasyScan from your Shopify Admin dashboard.

  2. From the primary menu, click on the Check Inventory tab.

  3. Select the physical Shopify Location you are currently standing in.

Step 2: Configure Your Scan Behavior

Before pulling the trigger on your hardware scanner, choose how you want the application to handle inputs:

  • Continuous Scan Mode: Every single trigger pull or camera beep automatically increments the product's quantity by +1. (Best for scanning individual clothing items or loose retail goods rapidly).

  • Multi Scan Mode: Every single trigger pull or camera beep automatically increments the product's quantity by a set amount.

Step 3: Scan Your Inventory

  1. Place your cursor inside the main "Barcode/SKU" input field.

  2. Begin scanning your physical items row by row, shelf by shelf.

  3. As items are scanned, they will populate a live ledger at the bottom of your screen showing the expected Shopify quantity versus your physical scanned count.

Step 4: Review and Commit Your Changes

Once your team finishes scanning a section:

  1. Review the variance column to catch any massive discrepancies.

  2. Click Update Inventory to instantly push your new, physically counted numbers to your live Shopify store.


âš¡ Pro Tips for Error-Free Audits

  • Watch the Blinking Cursor: The most common troubleshooting issue on the floor is a "missing scan." Always ensure your cursor is blinking inside the primary input box before scanning an item.

  • Sort by Bin Locations: If you use our Bin Location feature, print out your inventory sheets sorted by alphanumeric code first. This prevents your floor staff from walking back and forth across the warehouse.

  • Test Variable Products First: If you sell products by weight or loose quantities using scale labels, ensure you have enabled PLU Barcode Support in your Settings > General tab before launching your stocktake.

💬 Frequently Asked Questions

Can multiple staff members scan inventory at the same time?

Currently, we recommend dedicating one device per warehouse section to avoid overriding live values during a final update. The upcoming Stocktake feature upgrade will support full multi-device, multi-user collaborative session counting.

Does updating my inventory delete historical data?

No. Every adjustment made through EasyScan updates your core Shopify values, which are tracked transparently in your native Shopify timeline.

Is there an API to sync these counts with an external ERP during an audit?

We do not currently offer a public API endpoint for extracting or pushing live inventory check batches. However, if your team requires custom webhooks or API endpoints to bridge our upcoming Stocktake module with an external management system, please get in touch with our engineering team so we can evaluate your specific use case for our roadmap!
